Adult Volunteer Central!
There are many aspects of our Fair which require more hands than our Science Faculty has among them -- and we look to our parents and supporters to help things run a little smoother! Following is a listing of some of those opportunities. (Note: the list may occasionally be updated as the fair draws nearer and the vision as to just how this whole thing will come together at our temporary location becomes clearer!)
*****If you feel called to help in any one or more of these great aspects of our Fair, please FILL OUT the Volunteer Information Form directly below. BE SURE to include your opportunity choice(s) in the COMMENTS Section of the Form.*****
Thank you for volunteering! You should hear from our Fair Director within 48 hours.

TABLE ACQUISITION: We need to locate/borrow about 45-50 standard 8-foot tables for use on the day of the Fair. This involves locating and arranging for the transportation of the tables to WCA on the day before the fair and from WCA following the fair. Since the fair is on a Tuesday, it should not interfere with church functions if your church has tables we could borrow!
JUDGE RECRUITMENT: You don't even have to register to do this one! Professionals in ANY field of Science or Mathematics or the application of either are welcome to join the ranks of some of the most important people in the workings of a Science Fair -- without them, this event simply could not happen! If you have any neighbors, friends, family or church members that qualify in the above description in any way, please refer them to THIS WEBSITE and to JUDGES CORNER hereon. This will afford them the opportunity to read all about our fair as well as register online if they decide to participate -- our Fair Director will handle things from there! We CANNOT have TOO MANY judges!!
JUDGE PACKAGE PREP & DISTRIBUTE: Approximately one month prior to the fair, we must make copies of and mail out ALL of our Judges Packages. There is no design or writing of the information on your part, simply the manual labor (for lack of a better term!) of making the copies, addressing all the manila envelopes and making sure they get delivered (via hand or postal service) to their correct recipients.
FAIR-DAY SUPPLIES -- CAN YOU SPARE THESE ITEMS?: We will need to borrow the following items for use on the day of the fair: standard 8-foot tables, heavy-duty (thicker outdoor orange/yellow/green) extension cords, splitters to fit those extension cords and power strips. We ask that ALL items have your family name CLEARLY PRINTED on a piece of duct tape or even DIRECTLY on the item itself so that we can guarantee its safe return. We will put out a "call" for these items with instructions on when/where to deliver them shortly after our return from the Christmas Holidays - please be on the lookout for this call!
FAIR SET-UP: On the Monday holiday before the fair, we will meet to set-up the multitude of tables and place all project ID stickers on those tables. We must also run all necessary extension cords and powerstrips as well as set-up the judge's meeting areas. This is usually quite time consuming, but the more helping hands we have, the less time it will consume!
FAIR-DAY JUDGE BAGS: Each of our judge's receives a bag upon arrival on the day of the fair. This bag contains pens, pencils, maps, highlighter, clipboard, judge's forms and other various paperwork/supplies that a judge needs to have at his disposal to complete his job. All of the supplies will be provided to you, all you would need to do is to compile the bags, label them with the individual judge names and return them to the Fair Director by the Friday before the fair. There are still a few confidential forms which only the Fair Director can add to the bags before their dissemination to the judges on the Tuesday of the Fair.
FAIR-DAY JUDGES LUNCHEON: We provide a box lunch with beverages and dessert for our judges on the day of the fair. We need someone to help set-up for, be a congenial host/hostess during, and clear-out after this luncheon. This COULD also include the provision of the drinks and/or dessert, but the two actions are definitely independent of each other!
FAIR-DAY JUDGES-AREA FOOD/DRINK: We provide hot and cold beverages as well as a small assortment of snacks and finger foods for our judges to have during their deliberations. We need a few folks to volunteer to bring light snacks (cookies, chips or crackers, sliced cake/brownies, veggie or fruit tray). We need a box of hot cocoa mix, a small tea bag assortment as well as perhaps a few "one-pot" packs of coffee. We also need cold beverages to include bottled water and canned drinks.
NOTE: If you would like to coordinate the Judges Area Food/Drink, please contact our Fair Director directly -- thank you!!
FAIR-DAY JUDGES-AREA HOST/HOSTESS: We need one or more volunteers to make sure the judges have what they require in the form of refreshments, directions, supplies and information. On the day of the fair, you will be in constant contact with our Fair Director and other Science Department Faculty to assure that these IMPORTANT INDIVIDUALS have what they need to get their job done in an expedient and timely manner.
FAIR-DAY TEAR DOWN AND CLEAN-UP: Just as it took MANY hands to shorten the set-up time, we would be looking for just as many (or more!) hands to help with clean-up. This work begins PROMPTLY at 8pm on the day of the Fair and will continue until all tables have either been returned to their proper classroom or stacked for loading onto vehicles that will carry them back to their rightful owners! We will also need to roll-up all extension cords and gather up power strips and splitters and pile them in a designated area for their owners to retrieve them (according to their nametags)!
